Office Coordinator
Classification: Full-Time
General Function: Reporting to the Executive Director, the Office Coordinator serves as an integral member of the team, responsible for managing the core financial and administrative functions of the ACA, New England office. This position will provide the highest level of customer service to ACA, New England members and accredited camps.
Key Responsibilities:
- Administrative Duties:
- Answering phones and emails
- Scheduling meetings and appointments
- Managing office communications and correspondence
- Preparing and editing documents, reports and presentations
- Maintaining office files and records
- Financial Responsibilities:
- Overseeing accounts payable and accounts receivable
- Handing bookkeeping tasks using Quickbooks
- Managing journal entries between CRM and Quickbooks
- Helping to prepare financial reports
- Office Maintenance:
- Ordering and maintaining office supplies
- Ensuring office equipment is maintained and serviced
- Managing vendor relationships and negotiating contracts for office services
- Customer Service:
- Handling inquiries and questions from members and volunteers
- Providing information and support to the public

Requirements:
- Strong oral and written communication skills
- Strong customer service mindset
- Ability to work effectively with the public, members, volunteers, and staff
- Database and data entry skills
- Some bending and lifting required
Suggested Experience:
- Experience in administrative work and office management
- Experience with information technology/systems management or desire to learn
- Experience with QuickBooks, Microsoft Office, and database management or desire to learn
- Highly organized, efficient, and detail oriented
- Ability to manage multiple priorities
