Office Assistant - Wildwood Camp - Mass Audubon

 

Job Description

  • Act as the primary contact for phone calls to camp 
    • Answer main office phones during scheduled office hours 
    • Present a polite, professional demeanor while speaking on the phone 
    • Check and respond to main office voicemail during scheduled office hours 
    • Handle parent concerns with a helpful and reassuring tone 
    • Take down messages and forward them to the appropriate person in a timely manner 
    • Serve as a relay point between radio and phone communications during emergencies 
  • Manage and distribute incoming and outgoing mail 
    • Print out emails for campers daily and distribute to appropriate mailboxes 
    • Pick up incoming and drop off outgoing mail at the post office each weekday 
    • Sort mail by unit and place unit boxes on the office porch prior to 1:00pm each weekday 
    • Sign for incoming FexEx, DHL and UPS packages 
  • Manage Wildwood’s camp store 
    • Staff the camp store during daily Open Activity Time (4:00 – 5:30) 
    • Record all camper and staff purchases 
    • Maintain cleanliness and organization of the camp store 
    • Ensure security of camp store merchandise 
    • Contact the Director or Program Manager if you become aware of a camper who does not have a store account and has shown a desire to make a purchase 
    • Collect money and record purchases and deposits into camper accounts by parents 
    • Notify the Program Manager when stock of an item begins to get low 
  • Manage the camp office and maintain an appropriate office environment 
    • Keep the office clean and organized
    • Monitor staff use of the office to ensure appropriate use and a professional environment
    • Occasionally receive visitors and ensure they are accompanied by a senior staff member

Salary: $3,000 for the summer

Requirements

Applicants must be at least 21 years of age and have a valid driver’s license. Be willing to work nights and weekends throughout the summer months.

Experience

Applicants must have strong organizational and leadership skills, experience answering phones and handling money, and be proficient in basic computer word processing and e-mail programs.

Additional Information

This position allows for the staff member to either live on camp or commute. Salary will be reflective of such.
